Welcome the Huddle Room!
Posted by Ryan Pinke on 4/18/2017
Everything in business is transforming to be quick, easy and ready to use. Conference and meeting rooms are no exception, companies are dumping the luxury furniture and old clucky AV setups for smaller, technology-enabled Huddle Rooms – with whiteboards, video conferencing and collaboration built in.
Just like everything else in business, they are small and easy to use. Now, with applications such as Zoom Rooms from Zoom.us, the Huddle Room can become a video conference in a clouds – with participants from around the world, all with the a few swipes of your finger on an iPad.
At VideoConferenceGear.com, we have been selling Zoom since the beginning, and have seen the explosion of Huddle Rooms (and the transformation of the traditional conference room). It makes sense, beside the dollar expense of travel, there is a more important cost in TIME. Travel time, and down time from travels cost more than hours, it can create unexpected delays. Most employees would rather be at home than at a hotel, or sitting in an airport.
Zoom is a perfect fit for Huddle Rooms, and is exactly why they created Zoom Rooms, an application purpose built to help manage and control video conferencing within meetings rooms. And we have create pre-configured “kits” specifically for Zoom Rooms, which include everything you need:
Compared to their larger, more formal and traditional cousins, huddle rooms have relatively basic functionality requirements. Specifically, WR has determined that the typical organization requires the following features / functions (in order of priority) in their huddle rooms:
- Video Conferencing – you may not believe this, but it is proven humans communicate and retain information much better visually, especially if we can see who is talking. Does the Huddle Room work for voice-only communications? Yes it does. But we believe the low cost of a high quality video conferencing camera is worth it. We represent the best cameras on the market today, including TelyCam, AVer, Logitech, Panatech, etc. Don’t skimp on your Huddle Room, video enable it.
- Audio Conferencing – users expect to be able to place standard phone calls and participate in audio conferences from their huddle rooms. Equally important is the ability to place calls easily using a standard workflow (e.g. dial a number, press the dial button, etc.), and without the need for in-room or remote support. But “calling” someone is not always done through a phone number, increasingly, our “calls” are done via the internet, without every dialing a phone number. Audio, speakerphones, microphones – all need to be flexible enough to work equally well in all these worlds.
- Local Content Presentation – the world huddle doesn’t mean huddling around a small laptop screen or looking over someone’s shoulder, it means having the ability to share content with everyone – those in the room and those remote. In room controls are important for the cameras – they might need to focus on a whiteboard or on a presenter. We have test several variations for room controls. And our conclusion is using a room specific computer (we love the Intel NUC) and an iPad (secured for use in the room). That combination supports your video conferencing capability, sharing and ability to control all the devices, simply and easily.
- Collaboration – the key with any type of meeting room (in an office or online) is the ability to work together, share information, and get things done. With Zoom Rooms, we help people put productivity into the workplace, through enabling video conferencing, in small huddle rooms or in the largest conference rooms.
Huddle rooms, equipped with video conferencing and powered by Zoom Rooms is a powerful combination to accelerate growth and keep your teams working together, no matter their location.
